{"id":47,"date":"2020-04-06T20:50:17","date_gmt":"2020-04-07T03:50:17","guid":{"rendered":"http:\/\/support.eoni.com\/?p=47"},"modified":"2024-01-22T11:41:17","modified_gmt":"2024-01-22T19:41:17","slug":"how-to-setup-your-own-interactive-voice-response-ivr-menu-recordings","status":"publish","type":"post","link":"https:\/\/support.eoni.com\/?p=47","title":{"rendered":"How to Setup Your Interactive Voice Response (IVR) Menu and Recording"},"content":{"rendered":"\n<p>IVR is also known as an Auto Attendant.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Requirements to create your recording:<\/h2>\n\n\n\n<ol class=\"wp-block-list\"><li>Recording password<\/li><li>Recording ID<\/li><li>Your script of what to say in the recording <\/li><li>A list of each option the caller will dial and where the caller should be connected when that option is dialed<\/li><\/ol>\n\n\n\n<h2 class=\"wp-block-heading\">Steps to setup your recording (read all before proceeding):<\/h2>\n\n\n\n<ol class=\"wp-block-list\"><li>create a new document, copy and paste all of these instructions into that document<\/li><li>save this document somewhere you can easily find it so you or other authorized users can be able to access this document in the future<\/li><li>edit the document with the script that will be recorded and played to callers and edit your &#8220;dialed menu options&#8221; below<\/li><li>choose a quiet room with a one of your business phone system phones to make the recording<\/li><li>at the bottom of the script say where each number the caller presses should be sent (to an extension, ring group, specific voice mail, other phone number, cell phone etc)<\/li><li>from your business phone extension dial *732#<\/li><li>you will hear: password<\/li><li>dial: your Recording password #<\/li><li>you will hear: ID\u00a0<\/li><li>dial recording ID #<\/li><li>Place a finger near the # button but do not press it until you are finished speaking your recording<\/li><li>You will hear: recording started<\/li><li>Speak your recording script (replace the following red text with your own, smiling while you speak actually makes your greeting sound more friendly and positive)<br><\/li><\/ol>\n\n\n\n<p>Thank you for calling ABC Company<\/p>\n\n\n\n<p>We know you secretly live to push people&#8217;s buttons so we are going to ask you to push a few of ours (timbuk2.com says something like this)<\/p>\n\n\n\n<p>If we owe you money press 1<\/p>\n\n\n\n<p>If you owe us money&#8230; 2<\/p>\n\n\n\n<p>For the on call&#8230; 3<\/p>\n\n\n\n<p>Or to leave a message please hold<\/p>\n\n\n\n<p><strong>Press # when finished speaking<\/strong><\/p>\n\n\n\n<p>Your recording will be played back<\/p>\n\n\n\n<p>Press 1 to save, call will automatically hangup<\/p>\n\n\n\n<p>Press 2 to re-record, you will be prompted for the ID number again<\/p>\n\n\n\n<p>If caller dials Where should the caller be transferred to?&nbsp; Please include the 10 digit phone number or 3 digit extension for each option you have on your menu next to the numbered options you need setup below.&nbsp; You do not have to use all the dialed menu options, just list the ones you use.&nbsp;&nbsp;<\/p>\n\n\n\n<p>If you want to make it so you do not have to speak phone numbers in your recording you can assign a dialed menu option to that number then let the system transfer the caller to that number.&nbsp; This makes it is for the caller so the caller does not have to note the phone number you are inviting them to dial.<\/p>\n\n\n\n<figure class=\"wp-block-table\"><table><tbody><tr><td>Dialed Menu Option&nbsp;<\/td><td>Where the caller should be transferred to<\/td><\/tr><tr><td>1<\/td><td>Extension 123 (replace this with what you need)<\/td><\/tr><tr><td>2<\/td><td>Extension 456 (replace this with what you need)<\/td><\/tr><tr><td>3<\/td><td>Extension 789 (replace this with what you need)<\/td><\/tr><tr><td>4<\/td><td>Outbound 541963XXXX (replace this with what you need)<\/td><\/tr><tr><td>5<\/td><td>Outbound 541426XXXX (replace this with what you need)<\/td><\/tr><tr><td>6<\/td><td>etc<\/td><\/tr><tr><td>7<\/td><td>etc<\/td><\/tr><tr><td>8<\/td><td>etc<\/td><\/tr><tr><td>9<\/td><td>etc<\/td><\/tr><tr><td>0&nbsp;<\/td><td><\/td><\/tr><\/tbody><\/table><\/figure>\n\n\n\n<p>if the caller dials nothing we can send the call to where dialing 0 goes to, hangup or transfer the caller to another number.<\/p>\n\n\n\n<p><strong><em>After the recording has been recorded email the script document to <a href=\"mailto:hpbx@eoni.com\" target=\"_blank\" rel=\"noreferrer noopener\">hpbx@eoni.com<\/a> to have EONI create the menu, associate your recording and map the menu buttons the caller will dial<\/em><\/strong><\/p>\n\n\n\n<p>Do your menu need to work differently day time vs night time?&nbsp; If so, we may need to have 2 different IVR menus for the different times.<\/p>\n","protected":false},"excerpt":{"rendered":"<p>IVR is also known as an Auto Attendant.
